Welcome to Koqudi. These Terms and Conditions govern your use of our video equipment rental services. By accessing our website or renting equipment from us, you agree to comply with and be bound by these terms. Please read them carefully before proceeding with any rental transaction.

1. Definitions and Interpretation

In these Terms and Conditions, unless the context otherwise requires:

  • "Company," "We," "Us," "Our" refers to Koqudi, located at 123 Richmond Road, London, E8 3BG.
  • "Customer," "You," "Your" refers to the individual or entity renting equipment from us.
  • "Equipment" means any video equipment, cameras, lighting, audio gear, or accessories rented from Koqudi.
  • "Rental Period" means the agreed duration for which the Equipment is rented.
  • "Rental Agreement" means the contract formed between the Customer and Koqudi upon confirmation of booking.

2. Rental Eligibility and Requirements

To rent equipment from Koqudi, you must meet the following requirements:

  • Be at least 18 years of age or have parental/guardian consent
  • Provide valid government-issued identification
  • Provide a valid credit or debit card for security deposit purposes
  • Agree to all terms and conditions outlined in this document
  • Provide accurate contact information including email address and phone number

We reserve the right to refuse service to anyone who does not meet these requirements or who has previously violated our terms.

3. Booking and Reservation Process

Equipment reservations can be made through our website, by email at [email protected], or by phone at +44 7837 921 546. All bookings are subject to equipment availability.

3.1 Confirmation

Your rental is not confirmed until you receive written confirmation from Koqudi. We will send confirmation via email within 24 hours of receiving your booking request.

3.2 Advance Booking

We recommend booking equipment at least 48 hours in advance to ensure availability. Last-minute bookings are subject to equipment availability and may incur additional rush fees.

4. Rental Rates and Payment Terms

All rental rates are quoted in British Pounds (GBP) and are subject to change without prior notice. Current rates are available on our website or upon request.

4.1 Payment Schedule

  • A non-refundable deposit of 50% is required at the time of booking
  • The remaining balance must be paid before equipment collection or delivery
  • We accept major credit cards, debit cards, and bank transfers

4.2 Security Deposit

A refundable security deposit is required for all rentals. The deposit amount varies depending on the equipment value and will be specified in your rental agreement. The security deposit will be returned within 7-10 business days after the equipment is returned in satisfactory condition.

5. Equipment Collection and Return

5.1 Collection

Equipment can be collected from our location at 123 Richmond Road, London, E8 3BG during business hours. Valid identification must be presented at the time of collection. Upon collection, customers must inspect all equipment and report any defects or damage immediately.

5.2 Delivery Service

We offer delivery and collection services for an additional fee. Delivery charges vary based on distance and will be confirmed at the time of booking.

5.3 Return

All equipment must be returned by the agreed return date and time. Late returns will incur additional charges at a rate of 50% of the daily rental fee per hour overdue. Equipment should be returned in the same condition as received, clean and in working order.

6. Customer Responsibilities

As a customer renting equipment from Koqudi, you agree to:

  1. Care and Handling: Use the equipment with reasonable care and only for its intended purpose
  2. Security: Keep the equipment secure at all times and not leave it unattended in public places
  3. Unauthorized Use: Not sublease, lend, or allow any third party to use the equipment without written permission
  4. Location: Not take the equipment outside the United Kingdom without prior written consent
  5. Modifications: Not modify, alter, or repair the equipment without authorization
  6. Insurance: Maintain adequate insurance coverage for the equipment during the rental period
  7. Reporting: Immediately report any damage, theft, or malfunction to Koqudi

7. Damage, Loss, and Liability

You are responsible for the equipment from the time of collection until it is returned to Koqudi and inspected by our staff.

7.1 Damage

Any damage to equipment beyond normal wear and tear will be charged to the customer. Repair costs will be deducted from the security deposit, and any additional costs will be invoiced separately.

7.2 Loss or Theft

In the event of loss or theft, you must immediately notify Koqudi and provide a police report within 24 hours. You will be liable for the full replacement value of the equipment plus any associated costs.

7.3 Insurance

We strongly recommend that customers obtain appropriate insurance coverage for rented equipment. Optional damage waiver insurance is available for an additional fee.

8. Cancellation and Refund Policy

8.1 Cancellation by Customer

  • Cancellations made more than 7 days before the rental start date: Full refund minus 10% administrative fee
  • Cancellations made 3-7 days before: 50% refund of paid amounts
  • Cancellations made less than 3 days before: No refund
  • The initial deposit is non-refundable in all circumstances

8.2 Cancellation by Koqudi

We reserve the right to cancel any rental if equipment becomes unavailable due to unforeseen circumstances. In such cases, we will provide a full refund or offer alternative equipment of equal or greater value.

9. Limitation of Liability

To the fullest extent permitted by law, Koqudi shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our equipment or services. Our total liability shall not exceed the total amount paid by you for the rental.

We do not guarantee that equipment will be error-free or operate without interruption. While we maintain our equipment to high standards, technical issues may occasionally occur.

10. Intellectual Property

All content created using our equipment remains the intellectual property of the customer. However, we retain ownership of all equipment, accessories, and related materials. Any attempt to sell, transfer, or claim ownership of our equipment will result in legal action.

11. Privacy and Data Protection

We collect and process personal information in accordance with applicable data protection laws. Your information will be used solely for rental purposes and will not be shared with third parties except as required by law. For more information, please refer to our Privacy Policy.

12. Modifications to Terms

Koqudi reserves the right to modify these Terms and Conditions at any time. Changes will be effective immediately upon posting to our website. Continued use of our services after changes constitutes acceptance of the modified terms.

13. Governing Law and Jurisdiction

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Severability

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
